RESPONSIBILITIES

Provide administrative support to the Department

Enter personnel data into HR information systems

Accurately maintain a record of all employees by position

Answer telephones and transfer to appropriate staff member; greet clients and visitors

Ensure customers, vendors and employees are handled in a professional and courteous manner both on the telephone and in person

Create and modify documents (Microsoft Office); photocopying, faxing, mailing and filing

Maintain hard copy and electronic filing system(s)

Receive/distribute UPS, Fed Ex and airborne packages

Research, price and purchase office furniture and supplies

Coordinate and maintain records for staff office space, phones, parking, company credit cards and office keys

Schedule/coordinate meetings and conferences

Other duties as assigned

QUALIFICATIONS

Bachelor's Degree or equivalent experience

Three years of experience as an Administrative Assistant, Executive Assistant or in a similar capacity

Bilingual candidates in German and English strongly desired

Additional language skills beneficial for communicating with Bulgarian, Romanian, Czechoslovakian and other eastern European countries highly desired

Proficiency with MS Office, to include Excel, Word and PowerPoint

Effective oral and written communication skills with all levels of the organization

Strong organizational skills with the ability to manage time and multiple priorities to completion

Problem solving skills with an analytical thought process

Ability to adapt to a rapidly changing environment

WORKING CONDITIONS

Work is typically based in a busy office environment and subject to frequent interruptions. Business work hours are Monday-Friday from 8:00 am to 5:00 pm, however some extended or weekend hours may be required.

PHYSICAL REQUIREMENTS

May be required to lift and carry awkward items weighing up to 25 lbs. Requires intermittent standing, walking, sitting, squatting, stretching and bending throughout the workday.
