General Purpose of Role:
We are looking for an Office Manager (m/f/d. Full or Part-time) to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.
Main Responsibilities:
- Serve as the point person for office manager duties including:
- Ordering and shopping
- Errands
- Mailing
- Bills
- Maintenance
- Supplies
- Equipment
- Cleaning company
- Pest control company
- Parking
- Garbage
- Booking trainings
- Setting up new vendors
- Keeping the Org Chart updated
- Provide general receptionist services (e.g. answering the phone, opening the door, accepting deliveries).
- Provide general support to visitors including catering.
- Support business travel arrangements and expense reporting.
- Support team by scanning documents for several departments & archive them
- Schedule meetings and appointments.
- Order stationery and equipment.
- Maintain the office condition and arrange necessary repairs.
- Organize office operations and booking flexible seating.
- Coordinate with IT department on all office equipment.
- Keep a logbook for company mobile phones and IT equipment.
- Assist in the onboarding process for new hires.
- Plan in-house or off-site activities, like parties, celebrations and conferences.
Outcomes of Role:
- The Office Manager will ensure smooth running of the office, take care of visitors and help to improve company procedures and day-to-day operations.
Specific Knowledge / Skills Competence:
- Experience as an Office Manager, Front Office Manager or Administrative Assistant.
- Proficiency in MS Office (Excel, Outlook, Teams in particular).
- Strong written and verbal communication skills. Fluent German and English are a prerequisite.
- Excellent interpersonal skills.
- High flexibility to adapt, react quickly and deal with change in a fast-paced environment.
- Ideally, flexibility on working hours/working days.
- Excellent time management skills and ability to multi-task and prioritize work.
- Pragmatic, solution-oriented person with positive energy, tenacity and resilience.
- Attention to detail.
- Willingness to learn.
- Valid driver’s license and own vehicle for errands and picking up catering.
- Middle or High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
