Overview:
Do you have proven experience in office / facilities management and are you looking for a part time position? If so, apply now, as we are looking for an Office Coordinator to join us!
Duties will be varied and will include looking after front of house, office facilities and administration, amongst other tasks.
Please note this is a part time position offering 30 hours per week, and you will ideally spread those hours over 4 days between Tuesday and Friday each week. We work on a hybrid basis that means you would work three days in our Cologne based office each week (ideally Tuesdays, Wednesdays and Thursdays), and one from home (ideally Fridays).
Salary for 30 hours per week will be between 35.624 Euros and 41.249 Euros per annum. This is a full time equivalent of between 47.500 Euros and 55.000 Euros if the role was for 40 hours a week.

Responsibilities:
- Liaising with the lessor of the office on any topics such as repairs and preventative maintenance, liaising with contractors as required
- Ensuring the necessary business-related insurance policies are in place and that records are kept up to date and displayed as appropriate
- Providing a first point of contact service for any visitors to the office
- Dealing with all incoming and outgoing mail and parcels including arranging couriers
- Monitoring, ordering and distributing all stock, including office supplies and stationary, office refreshments, furniture, and other resources
- Ensuring the general cleanliness of the office space
- Maintaining correspondence addresses and key information
- Producing reports, composing correspondence, and drafting new contracts as required
- Supporting the Events and Social Committee in arranging internal and external events, including booking venues, ordering catering, sending resources and invites, etc.
- Processing invoices relating to office costs
- Dealing with other office and financial administration as required
- Arranging staff meetings
- Undertaking other ad hoc duties as directed by your manager
Qualifications:
- Proven experience in an office / facilities management role
- Excellent written and verbal communication skills in both German and English
- Someone who lives within a commutable distance of Im Mediapark 5b
50670 Cologne and who is happy to be office based three times a week (Tuesday-Thursday) and home based for one (Friday) each week - Strong PC and administration skills (able to use Microsoft Teams, Outlook, Word and basic PowerPoint and Excel)
