Your Tasks

Calendar Management: Manage and coordinate the VP's calendar, scheduling meetings, appointments, and travel arrangements. Ensure that the VP is well-prepared for meetings with necessary documents and information
Communication Liaison: Act as the primary point of contact (m/f/d) between the VP and internal/external stakeholders. Manage and filter incoming emails, phone calls, and correspondence, responding on behalf of the VP when appropriate
Travel Coordination: Arrange travel itineraries, accommodations, and transportation for business trips. Prepare travel expense reports and ensure adherence to company policies
Document Management: Organize and maintain important documents, files, and records, both physical and digital. Draft and edit correspondence, reports, presentations, and other materials as needed
Meeting Support and event management (e.g Leadership meetings / offsites): Prepare agendas, presentations, and meeting materials for VP meetings. Attend meetings, take minutes, and follow up on action items as required. Find locations / hotels and manage activities
Confidentiality and Discretion: Handle sensitive information and maintain the highest level of confidentiality at all times
Problem Solving: Anticipate and address issues that may arise in the VP's absence, Find solutions to various administrative challenges efficiently

Your Profile

Bachelor's degree in business administration, management, or related field preferred
Proven experience as an assistant (m/f/d), ideally in an international role
Excellent communication and interpersonal skills
Strong proficiency in office software (e.g., Microsoft Office Suite)
Discretion and ability to handle sensitive information
Adaptability and ability to work under pressure
Business fluent in English and German
