The Personal Assistant plays a crucial role in providing administrative support to a Leadership Team Member, ensuring streamlined operations, and aiding in their efficient functioning within their respective department.
- Provide comprehensive administrative support to the Leadership Team Member: managing the team members calendar, scheduling meetings and ensure an optimized schedule.
- Coordinate travel arrangements, transportation logistics, and visa applications (if needed) for the Leadership Team Member, ensuring seamless and efficient travel planning.
- Act as the primary point of contact between the Leadership Team Member and internal/external stakeholders, handling inquiries, correspondence, and effectively prioritizing communications.
- Coordinate and assist in the execution of events, meetings, and other initiatives led by the Leadership Team Member, ensuring seamless coordination and successful outcomes.
- Proactively handle administrative tasks, including expense management, document organization, and logistical support for meetings and projects.
- Organize the agenda for the Leadership Team Member's team, including regular meetings, strategic workshops, and other team gatherings, facilitating efficient communication and collaboration.
- Maintain confidentiality and handle sensitive information with discretion in all interactions and communications.
- Proven experience as a Personal Assistant or Executive Assistant supporting C-suite executives.
- Exceptional organizational skills with a strong attention to detail and the ability to multitask efficiently.
- Proficiency in MS Office Suite and other relevant office software tools.
- Excellent written and verbal communication skills, enabling effective interaction with diverse stakeholders in English.
- Ability to work independently, prioritize tasks, and handle sensitive information with utmost confidentiality.
- Minimum of 3-5 years' experience in a similar administrative or assistant role, preferably supporting senior executives or C-suite personnel.
- Completed apprenticeship or vocational training in business administration, office management, or a related.
