About the role
You can expect diverse and exciting tasks in the areas of mail, purchasing, folder structure and other general and administrative activities around the office, supporting our Office Manager. You will also support with event planning. You will work independently and have the chance to bring your own ideas and grow in a cutting-edge, fast-paced and innovative growing company with great colleagues. - Maintain a clean and organized office environment, ensuring supplies are well-stocked and available for staff use.
- Place orders for office materials and other requested items
- Handle incoming and outgoing mail and packages, distributing them to the appropriate recipients promptly.
- Assist in maintaining office equipment and liaise with relevant vendors for repairs and maintenance.
- Collaborate with the facilities team to address any office-related issues.
- Support with organizing and executing various team-building events and activities.
- Assist in planning and coordinating company celebrations, outings, and special events.
- Support event logistics, including venue selection, catering, and arranging transportation if necessary.
- Assist in the onboarding process for new hires, including preparing welcome materials and ensuring their workstations are set up.
- Assist with the collection and processing of new hire paperwork, ensuring compliance with company policies and procedures.
- Coordinate employee orientations and introduce new team members to the company's culture and values.
- Support the offboarding process by coordinating exit interviews, collecting company assets, and ensuring a smooth departure for departing employees.
- Enrolled student at a German university. Ideally studying in the fields of business, HR or similar.
- Strong organizational skills, with the ability to prioritize tasks and meet deadlines.
- Proficiency in using office software tools (e.g., Microsoft Office suite, Google Workspace, etc.).
- High and fast comprehension.
- A proactive and self-motivated individual who can work independently and as part of a team.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Previous experience in office management, HR, or event organization is a plus but not mandatory.
- Excellent communication skills in English, both written and verbal (German is a plus).
