FUJIFILM Europe GmbH is the regional headquarter company of the FUJIFILM group based in Ratingen (Germany) and represents the aforesaid business divisions throughout Europe and in some cases throughout EMEA. FUJIFILM Europe operates through international subsidiaries, distributors, and resellers. Fujifilm EMEA’s Legal and Compliance teams consist of 16 members who are based in Ratingen plus 12 in-house lawyers in France, Italy, United Kingdom, Poland, Russia, the UAE and the Netherlands.
Due to nearing retirement age, we are now looking for an
Executive Assistant (f/m/div)
to the General Counsel and Chief Compliance Officer
at FUJIFILM Europe GmbH in Ratingen.
About the role:
As the Executive Assistant you will be responsible for providing administrative, organisational, project and secretarial assistance to the General Counsel & Chief Compliance Officer to support the management and coordination of FUJIFILM’s legal and compliance functions in the EMEA region.
Responsibilities:
- Dedicated support to General Counsel with
- coordination of calendar, meetings and business travel (incl. facility reservations, travel requests, travel bookings, hospitality and expense reports)
- bi-annual department budgeting process including data input, budget presentation and budget meeting
- preparation of annual financial audit-related activities
- departments’ SAP cost center monitoring and analysis
- design and editing of presentations
- filtering and prioritizing e-mail correspondence;
- General office administration including procurement of office and other material, handling of in-coming/outgoing mail and courier mail, support with arranging for department members’ hard- and software;
- Raising requisitions in SAP for procurement of external legal, notarial, consultancy and IT ser-vices including related correspondence with other divisions and external parties;
- Law Firms’ and Notaries’ invoice control;
- Creation of invoices for intragroup legal and compliance department services and cost re-charging;
- Maintenance of FUJIFILM Europe’s Corporate Group Structure Overview;
- Support transfer of incumbent’s responsibility for managing director/board appointments and replacements and other routine corporate changes of FUJIFILM EMEA group entities to Legal Operations team;
- Coordination and preparation of notarized and legalized management signature appointments.
Qualifications:
- Qualification as a paralegal, legal/industry/commercial clerk or assistant or business management assistant
- 5-10 years’ work experience, preferably in a multinational law firm or company
- Precise working style and good analytical and communication skills
- Fluency in verbal and written German and English; other language skills welcome
- Impeccable level of personal integrity with discreetness and high ethical standards
- Excellent knowledge of IT applications (MS36, SAP, COGNOS, etc.).
