About the job:
The Red Hat EMEA team is looking for an Executive Assistant to join us in our office or remotely in Germany or the Czech Republic. In this role, you'll report to the Vice President (VP) of DACH & CEE, serving as the point of contact to optimize the team's focus and effectiveness. You will coordinate between the VP and the Red Hat executive and management teams, associates, key business contacts, and customers. You will plan and organize large quarterly management meetings, coordinate C-level customer contacts, ensure a timely response to key correspondence, and serve as a project manager for key initiatives supporting the VP's goals. You'll also provide clerical support, including preparing expense reports, scheduling travel dates, agenda, and answering emails.
Please note that this position is maternity cover fixed term contract for 1.5 years.
What you will do:
- Plan and attend management meetings, manage the agenda setting, and maintain the actions register
- Create an annual schedule of internal meetings and plan for the year in advance, e.g., quarterly business reviews
- Plan and ensure quarterly performance review sessions for the VP and management team
- Manage and track key projects and monitor deliverables on behalf of the VP; monitor, track, and remind VP of impending deadlines
- Ensure relevant meetings are being noted in the system
- Create business presentations from VP's ideas and notes for them to present during key customer or internal management meetings
- Ensure the diary is managed to maximize effective use of time and to allocate time to critical areas as needed
- Arrange relevant conference room bookings, hospitality, etc.
- Book all travel with necessary schedules and supporting documents using appropriate Red Hat tools
- Maintain a list of open topics to be created as projects; keep a high-level view of status and implementation of projects
- Support internal communication with an extended leadership team within the DACH and CEE Organization.
What you will bring:
- Prior experience providing professional and administrative support for senior-level executives at an international level
- Ability to work in a highly evolving, fast-paced, adaptive environment
- Ability to exercise judgment and decision making while maintaining a high attention to detail
- Ability to effectively prioritize and meet deadlines in a fast-paced environment
- Excellent organizational and planning skills, with the ability to anticipate executive's needs and to determine the best use of their time
- Attention to detail; concise and to-the-point communication
- Proactive attitude and ability to complete assignments with little to no direction and effectively handle unexpected situations
- Highly skilled in using productivity software tools, including experience creating presentations in Google Docs or equivalent, and manipulating budgets and numbers in Google Docs or equivalent
- Positive, energetic, and motivated
- Excellent communication skills in English
- Knowledge of graphic design and ability to design web pages is a plus.
