We are looking for an Executive Assistant & Team Lead (all genders) to support the Product & Tech team on our journey to always deliver amazing experiences.
We are seeking a bright, self-motivated and enthusiastic Executive Assistant to support our Product & Tech department in an exciting and fast paced role. Our ideal candidate will be used to managing constantly changing diaries and travel, flexible in approach and able to change direction at a moment’s notice. You will enjoy the challenge of a busy environment, with lots of ambiguity, problem solving and continuous learning. You will have high standards in your work, with excellent attention to detail and you will go above and beyond to help the team operate more efficiently.

About the opportunity

Manage complex calendars, on behalf of our SVPs, plan and organize events of all sizes, and coordinate domestic and international travel

Be a firm gatekeeper, who can handle confidential information, and be able to make good judgment decisions with excellent communication and tact

Control meeting preparation and follow-ups by taking minutes and diligently tracking action items, preparing presentations and analyzing data where necessary

Manage projects with tight deadlines, and work efficiently and independently, juggling many tasks simultaneously with ease

Lead a small team of Team Assistants through all aspects of the performance management cycle, including annual planning, mid-year and annual performance reviews, objective assessment and proactive performance management, providing formal and informal feedback and coaching on an ongoing basis.

Identify and mobilize opportunities for Team Assistant development through formal learning opportunities, experiences and coaching.

Develop and maintain solid working relationships with key stakeholders to effectively deliver seamless administrative support service to the business.

Oversee and participate in recruitment of Executive Assistants and Team Assistants
What you need to be successful:

You have gained a minimum of 5 years of work experience, supporting senior management or in a project management position

You have excellent communication skills ensuring that tact, discretion and diplomacy are at the forefront of your interactions

You have first-class written and communication skills in English. German is a plus but is not required

You are customer-focused, solution-oriented, discreet and resilient with excellent organizational and multitasking skills

You are a natural relationship builder and have impeccable stakeholder management skills

You are a pro-active, pragmatic and personable individual who enjoys interaction with diverse groups of people

You are a highly professional individual, driven, resourceful, detail orientated and happy to work in a fast paced, dynamic office where you have to think outside the box and provide an exceptional level of service
