We are searching for an Administrative Assistant to support our NN/DACH team based in Cologne area, Germany. This is an office-based role.

The Administrative Assistant supports the team with clerical support, assisting with various projects and coordinating with other departments (Legal, Accounting, Franchise Sales etc.) to answer questions from the field.
Responsibilities include but are not limited to:
- Clerical duties: filing, answering phones, creating correspondence, copying documents, updating documents and presentations for the Feed (internal site), additional duties as assigned. Preparation of franchise sale request forms, requests for franchise fee payments, and any other required documents or information. Work to rectify any issues with information or documents. Follow up with Development offices and franchisees for clarifications and updates on existing projects and new opportunities. Support the team by responding to inquiries from headquarters staff, regional offices, BDs, business partners, franchisees, and new prospects.
- Search for leads from trade publications and other sources and respond to the leads that come in by answering general questions. Enter and follow up on leads with BDs and/or their staffs on the status of opportunities and update the Non-Traditional (NT) Entity Leads database with information for tracking offered sites and the status of each lead throughout the development process. Enter individual leads into SUBS database and follow up accordingly to make sure that every lead gets a response from HQ or from BD. Work on data entry for other categories on an as-needed basis.
- Send disclosure documents to NT entity franchisees for the team’s categories, brochures, non-traditional information, and mass mailings to targeted accounts, and assist the Assistant Director as well as the Global Account Managers in developing new leads for their categories.
- Research new potential business partners, existing locations, and work on other special projects on an as-needed basis.
- Organize site evaluation information, enter sites into pending database, file approvals, look up and track site disputes and other missing information needed for NT location approvals and franchise sales, and follow up with regional development offices for answers and/or comments. Enter the non-traditional location approvals into the pending database and files.
- Follow up with our BDs on any locations in our pending file that were approved over one year ago to check the status.
Skills & Abilities Required: - Excellent computer skills (Excel, Word, and PowerPoint). Helpful to have worked with Access databases.
- Flexible, organized, team player. Previous office experience and strong customer service background required.
- Able to multi-task, prioritize workload and comfortable working within a busy sales environment
- Strong communication/phone skills, detail oriented.
Additional requirements: - Bachelor’s degree preferred in Business Administration.
- Minimum of 3 years’ experience in an office environment
- Technical Proficiencies: Software (Microsoft Office Suite programs: Word, Excel, PowerPoint, Outlook).
- Language requirements: Fluent in German/English – any additional language a plus.
