Position Responsibilities:
IPS is hiring! We are looking for a talented Procurement/Purchasing Specialist to join our recently established German office locations in Frankfurt or Nurnberg with hybrid/remote working flexibility.

The Procurement Specialist is responsible for the timely placement of purchase orders and coordinating activities involved with procuring goods and services such as process and utility equipment, trade subcontracts and professional services. Responsible for project specific subcontracts and purchase orders (POs) and invoice tracking, shipping and receipt documentation.
KEY ACTIVITIES AND RESPONSIBILITIES
- Assures subcontractors and vendors are qualified to IPS and client standards.
- Creates and maintains procurement plans, prepares and issue bid packages, condition bidders, arranges and attends pre-bid and de-scope meetings.
- Preparation of preliminary and final commercial bid tabulations.
- Develops and submits Recommendations for Award (RFA’s).
- Issues bid award letters and letters of regret.
- Receive and process requisitions from various project teams.
- Prepare and place purchase orders with vendors in accordance with lead times and operational requirements.
- Obtain order confirmations to ensure services or materials are being scheduled per order requests.
- Expedite orders to track timely receipt of goods or services.
- Resolve invoice discrepancies and provide appropriate accounting instructions for cost variance allocations.
- Monitor price increases and communicate changes with procurement staff.
- Research new qualified subcontractors and vendors as needed.
- Obtain quotes and proposals as required.
- Support Procurement and Project Management with operational/administrative tasks as needed.
- Other duties as assigned.
Qualifications & Requirements:
REQUIRED EDUCATION/QUALIFICATIONS /WORK EXPERIENCE
- Bachelor’s degree or equivalent technical/commercial apprenticeship with a concentration in Supply Chain Management, Construction Management, Business Administration, or Engineering.
- Ideally 2-3 years of experience within purchasing, procurement, supply chain management, but candidates with administrative//commercial and/or project engineering experience are welcome to apply!
- Excellent interpersonal skills to professionally represent IPS to various suppliers, external resources and clients.
- Resilient, self-confident, capability to negotiate
- Knowledge and experience of trade contracts and equipment procurement would be helpful
- Proficient in Microsoft Office applications: Word, Excel, Power Point and Outlook applications. Knowledge of Procore is a plus+
- This position may require up to 25% travel to client sites during procurement phase.
