O&M site administrator in Saßnitz bei AVANGRID

The site administrator and will provide the overall administrative management of the site office, managing procurement and contractual processes, host visitors, assisting the site management team in administrative tasks and providing general office management services.

RESPOSIBILITIES AND FUNCTIONS

• Assisting the senior site management in the management of their diaries (PA duties)
• Manning the telephone switchboard and transferring calls, mails, office deliveries.
• Assisting the site personnel in booking travel, trainings.
• Managing guests and visitors on site.
• Arranging and ordering catering for meetings on site or close proximity.
• Sorting and distributing incoming mails, parcels to site employees.
• Purchasing stationary supplies/ office materials/ PPE/ consumables and maintain
• current stock.
• Collating and checking employee timesheets and liaising with People &
• Development.
• Processing, approving and editing invoices and purchase orders in SAP.
• Acting as first point of contact for IT queries.
• Acting as the SAP (purchasing/invoicing) system super user and training other site
• staff on SAP as required.
• Responsibility and ownership on doing Ibuy processes to support procurement
• and doing tenders.
• Managing tenders with support of senior contract manager.
• Maintaining electronic Document Management System.
• Training matrix management and organiser of site training when needed.
• Receptionist duties.

QHSE

• Ensuring H&S best practices has highest priority.
• Fire protection assistant
• Fist aider

Reporting, finance , Budget

• Support the site manage r on his duties on budget management and reporting
• Regulary report on defined KPI s trough the Company Standard report ing systems

SKILLS

• Suitable vocational education or degree with commercial and / or officemanagement background.
• Excellent language skills in German and English
• Advanced skills in standard IT tools, particularly MS office, SAP
• Experience in managing procurement processes and budgets
• Good financial and project management skills
• Experience in contract management advanced SAP skills
• GWO First A id & Fire Fighting
