We are looking for a highly motivated individual to support two department heads within our global Human Resources division and also their direct reports in their day-to-day activities. Besides supporting the two heads of department, this role will include a variety of tasks which will reflect the teams engagement in different strategic projects and initiatives. The 2 teams, approximately 20 colleagues, are reporting to the Head of Global Talent Attraction, Recruiting & Early Careers and Head of People & Organisational Development. - Delivering a full suite of first-class personal assistant services including diary, meeting management, and overall planning of internal and external meetings, forums, workshops and events
- Planning and organizing business travel and settlement of travel expenses
- Supporting the teams in their stakeholders management and communication
- Providing support in writing and/or updating presentations, papers and documents for submission up to Board level
- Preparing documents (Microsoft Office, Word, PowerPoint) in German and English language to tight deadlines
- Monitoring budget control and analysis for the team, and contributing to overall cost-efficiency
- Liaising and collaborating with other Personal / Team Assistants internally and externally
- Developing and maintaining team intranet pages, Sharepoint etc.
- Supporting maintenance of Teams Communities and email distribution lists
- Ordering IT and office supplies when required
- Organisation of team events and offsites, including content to further support and grow our team spirit and culture
Your powerful skills
- Proven track record as a personal or team assistant, ideally in an international business organisation
- A highly flexible, proactive and resourceful approach with a high level of professionalism and confidentiality
- Ability to work in a busy environment without constant supervision and ability to prioritize and organize work effectively, ensuring excellent attention to detail
- Strong team player with excellent planning and organizational skills, ability to work on own initiative and to proactively identify creative solutions to problems
- Advanced knowledge of the Microsoft Office suite, SAP, or other classic administration program
Advantageous, but not a must
- Experience and interested in modern way of working, paperless, digital, applying new tools
