Secretarial and Administrative Support: Perform a variety of secretarial and administrative duties to ensure the smooth operation of the CEO's office. This includes managing calendars, scheduling appointments, maintaining records, and databases with a high level of accuracy.
Data Management and Record Keeping: Enter data, maintain databases, and ensure data integrity and confidentiality. Keep records organized and up to date to facilitate efficient access and retrieval. Communication Coordination: Manage internal and external correspondence on behalf of senior management. Draft, proofread, and edit emails, letters, memos, and other documents to maintain professionalism and adhere to best business practices and etiquette. Travel and Make Arrangements: Make travel arrangements, including flights, accommodations, and transportation, ensuring efficient logistics for senior management and accompany whenever required. Calendar Management, Call Management, and Reminders: Coordinate and manage the CEO's calendar, scheduling appointments, and meetings. Handle incoming calls, take messages, and respond to inquiries promptly and professionally. Maintain a calendar, prepare facilities for scheduled meetings, and arrange refreshments as required. Send timely reminders to ensure all engagements are effectively managed. Email Monitoring and Response: Monitor the company's email account, review messages, and respond promptly to inquiries or escalate them to the appropriate individuals. Handle all email communications with professionalism and ensure timely and accurate responses. Strategic Assistance and Project Management: Conduct research, produce research papers and reports, and assist in decision-making processes.
Board Meetings and Key Account Coordination: Assist in the coordination of board meetings, including preparing minutes of meetings (MOMs) and supporting materials. Coordinate strategic key accounts with top key account managers to ensure effective management and growth.
Requirements
Bachelor's degree is preferred.
Proven experience as an executive assistant or in a similar role, supporting C-level executives is preferred.
Excellent organizational and time-management skills, with the ability to prioritize tasks effectively.
Strong written and verbal communication skills, with exceptional attention to detail.
Proficiency in using productivity tools and software, including MS Office Suite.
Ability to handle sensitive information with integrity and maintain confidentiality.
Strong interpersonal skills, with the ability to maintain composure and professionalism in high-pressure situations.
Flexibility to work outside regular business hours, as needed.
