About the role:

We are seeking an organized and detail-oriented individual to fill the position of Office Assistant. The ideal candidate will have excellent communication skills, be a quick learner, and possess the ability to multitask in a fast-paced work environment. You will be in charge of a range of administrative duties as an office assistant to support the everyday operations of the office.

What You’ll Do:

• Perform receptionist duties such as welcoming visitors, directing them to the appropriate place, and opening doors for staff.
• Procure company mobile phones for new hires as necessary.
• Obtain and renew parking permits for staff.
• Monitor inventory and regularly replenish office supplies such as groceries, water, coffee, and stationery.
• Process payments, follow up on invoices, and occasionally generate invoices.
• Establish an efficient reporting system for all assigned tasks.
• Serve as the contact person for our office chef, help with setting up and clearing twice a week.
• Sort and distribute incoming mail.
• Assist with event planning.
• Coordinate with vendors on any office-related issues, such as elevator or coffee machine maintenance.

About You:

• Experience in an office environment
• Excellent communication skills, both verbal and written
• Strong organizational skills, ability to multitask and prioritize competing priorities
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
• Attention to detail and accuracy in record-keeping, filing, and data entry
• Positive attitude and interpersonal skills, ability to create a welcoming environment for visitors and colleagues
• Time management skills, ability to manage time efficiently and meet deadlines
• Ability to handle sensitive information with discretion
• Adaptability, ability to respond to changing circumstances and unexpected situations
• Team player, working cooperatively with other members of the office staff to achieve shared goals.
