We are currently looking for a Grant Specialist (M/F/D) to join our Public Funding / Controlling team in Berlin, Meiningen or Munich. This position can be filled on a full- or part time basis. As a Grant Specialist you will report to the Senior Manager Grants and Subsidies and ensure compliance with all requirements set by grant/subsidy conventions. This includes all types of grants and co-financing awarded by governmental bodies or other institutions to any of the company’s subsidiaries.
Principle duties and essential functions

Develops and maintains an in-depth understanding of grants and financial compliance requirements of grant authorities or other donors

Assists project owners with the coordination of project proposals including review of submission guidelines, verification of the sponsored budgets, budget justifications, and other required administrative data such as calculating salaries, depreciation, and other costs

Prepares and reviews final and interim financial project cost reports, assists with supporting documentation requests from funding agencies

Works closely with accounting and project team to ensure cost and asset allocation to projects, and prepares monthly or quarterly journal entries for corporate financials

Assists in monitoring internal controls for grants and agreements to ensure accountability and prevent fraud, waste, and abuse

Performs compliance checks such as effort allocation in the company’s Time Assignment application and creates report templates to monitor variances in budget and effort distribution

Manages timelines of submissions to ensure the completion of high quality and compliant financial reports incl. collecting and archiving of subsidy control documentation (invoices, quotes, timesheets, etc.)

Participates in and/or supports external financial project audit
Knowledge, skills and experience required

Bachelor’s Degree in Business Administration, Accounting, Finance or related discipline or combination of education diploma with relevant skills, e.g. office clerk or similar with two or more years of experience in accounting or auditing positions

Experience in grants/subsidy management is desired but not required

Able to work well in a multinational environment

Proficient in MS Office applications

Good analytical skills

Accurate, honest, reliable, discrete, enthusiastic, open-minded and service-oriented

Ability to support multiple projects, set priorities and plan work to meet deadlines

Proficient in spoken and written English as well as German
